A client pays for 5 sessions upfront. Uses 2. Goes silent. Comes back a year later: “Can I get a refund for the unused sessions?”
You trained them. You held slots. You could have booked someone else. No refund. But now they’re mad.
A clear cancellation policy prevents this. It’s not mean—it’s professional.
Standard Policies#
No-show policy: “If you miss a session without 24-hour notice, the session is forfeited. No refund. Repeated no-shows result in account suspension.”
This is standard. Nobody refunds a missed doctor’s appointment. Same applies here.
Session expiration: “Packages expire 6 months from purchase. Unused sessions after expiration are non-refundable.”
Prevents clients buying 10 sessions, using 1, then asking for refunds 2 years later.
Cancellation with notice: “Cancellations with 24+ hours notice can be rescheduled once. Cancellations within 24 hours forfeit the session.”
Fair to both sides. You get 24 hours to rebook the slot.
Refund eligibility: “Refunds issued only for paid sessions we cancelled (trainer illness/emergency). Client-initiated cancellations are non-refundable but reschedulable.”
Clear boundary.
Common Edge Cases#
Client says they’re “pausing” training for 3 months.
Policy: “Paused sessions forfeit the slot. If you return within 6 months, we can rebook. If over 6 months, package expires.”
Prevents “I’m pausing forever but might come back someday” limbo.
Client wants to transfer sessions to a friend.
Policy: “Packages are non-transferable. Only the original client can use the sessions.”
Prevents reselling your sessions.
Client injured mid-package.
This is the exception. “If you’re injured and can’t train for 30+ days, we can pause the package (not expire). When you’re cleared, we resume. Requires medical documentation.”
Be human here. But document it.
How to Present the Policy#
Put it in writing BEFORE they pay. Include in:
- Your email when they book
- Your app (if you use one)
- Your intake form
- Any contract/agreement
Don’t hide it. Clear policies prevent 90% of disputes.
Example email: “Great! I’ve got your package scheduled. Here’s my cancellation policy: [policy]. Any questions?”
They agree upfront, not later.
FAQ: Policies and Pushback#
Won’t a strict policy scare clients away?
No. Clients respect clarity. They’ll push back if they don’t know the policy. Once it’s clear, most accept it. The ones who argue endlessly are high-maintenance anyway.
What if a client claims hardship?
Be human, but document. “I understand. I can pause your package for 30 days due to hardship. After 30 days, we resume or the package expires. OK?”
Keep it brief. Hardship becomes unlimited if you’re vague.
Should I offer refunds for any reason?
No. That’s bad for business. You can offer reschedules, package pauses, or package transfers to a later date. But refunds = you work for free.
What if I need to cancel sessions?
Fully refund or reschedule with priority. You cancelled—you take the hit. This is fair.
How do I handle recurring clients who cancel randomly?
“If you need to cancel more than once per month, this membership isn’t working for you. Let’s either reschedule to a time that’s more reliable, or pause until you’re ready.”
Don’t absorb chaos. Be firm, professionally.

- No-show rule
- Cancellation with notice rule
- Session expiration
- Refund eligibility
Put it everywhere. Email it to clients. Add to your app. Done.
Once it’s public, you have zero guilt enforcing it.
